Biometrics
At The JCB Academy, learners pay for their food in the restaurant and access the photocopiers/printers by placing their thumb on a biometric reader.
A digital representation of points on their thumb is taken electronically and is then converted into a numeric string; the original image is then deleted.
Whilst there is no need for parents/carers or learners to have any concerns in relation to privacy or data security, we are required to seek your consent to store and use biometric readings.
Photography/Video
At The JCB Academy, we recognise the importance of celebrating learners' achievements and promoting the academy’s activities through photography and video recording. We may capture images and videos of learners for a variety of purposes, including but not limited to:
- Educational and learning resources
- Promotional materials (e.g. website, prospectus, brochures, newsletters)
- Social media channels and online platforms
- Press and media publications
- Internal displays and presentations
We are committed to ensuring that all images and recordings are used in a safe, responsible, and lawful manner, in line with data protection legislation and safeguarding guidelines.
By giving consent, you confirm that you give permission for The JCB Academy to:
1. Capture and store photographs and video recordings of your child for the purposes outlined above.
2. Publish and share images and videos featuring your child on the academy’s website, social media platforms, printed materials, and with third-party media outlets (e.g. newspapers, educational publications).
3. Use images and recordings for an unlimited period unless consent is withdrawn.
You also acknowledge that:
The academy will not include learners’ full names in any public-facing media without additional explicit consent.
The academy will take reasonable steps to ensure that images are used appropriately and that no inappropriate or harmful content is published.
You have the right to withdraw consent at any time by providing written notice to the academy. Upon withdrawal, the academy will cease using new images of your child but may not be able to retract existing materials already in circulation.
Screening for exam access arrangements
After initial assessments have been carried out we may consider it beneficial to screen your daughter/son to see if they are eligible for exam access arrangements.
This will involve a short test which is carried out by a trained professional to assess whether or not they may be eligible for additional support such as a reader, scribe or extra time in external examinations.
Any subsequent eligibility will be notified to you in writing by the Assistant SENCO.
Storage & sharing of learner information & data
The JCB Academy has an obligation under the Data Protection Act 2018 to let parents/carers know what information we hold about them and their son/daughter, and this Privacy Notice is designed to do this.
The JCB Academy holds and processes information on Learners in order to:
- Support their teaching and learning
- Monitor and report on their progress
- Provide appropriate pastoral care
- Assess how well the Academy, as a whole, is doing
This information includes parent/carer and learner contact details, attendance information, characteristics such as ethnic group, special educational needs, predominant mode of travel to The Academy and any important medical information. We will be provided with learner unique learner numbers (ULN) by the Learning Records Service and may also obtain details of any learning or qualifications undertaken. If you would like to see a copy of the information we hold then please contact the Academy on 01889 506100.
We will not give information about you to anyone outside The JCB Academy without your consent, unless the law and our rules permit it. We are required by law to pass some of your information to the local authority and the Department for Education.

We are also required to pass learner information to providers of youth support services, the government’s information and advice service for all young people aged 13 to 19 in England. We must provide parent and learner names and addresses and any further information relevant to the support services role. However, you can (and learners can if aged over 16) request that no information beyond name, address and date of birth is passed to the support service if you wish.
